Assets and the equipment registry
Every piece of equipment, where it came from, its manual, its warranty and whether it is fit for commercial use.
Assets lists every asset across your locations with tasks, warranty state and service status. Add or edit assets on each location's Equipment tab.
Every asset carries its own copy of its tasks. Add a second ice bath and it gets its own water test, drain, filter and dose tasks; Today then shows one group per asset ("Ice bath 1", "Ice bath 2") rather than one shared list. The location's Tasks tab lists tasks under the asset they belong to, and the asset page shows the same list. Taking an asset out of service pauses its tasks; putting it back restores them.
Click an asset to open it. The asset page shows its parts list - filters first, then consumables and spares - with part numbers, stock at that location, when each was last replaced and when it is next due. Master-list assets (Chill Tubs baths, for example) arrive with their parts list filled in from ThermaCare's master list, and from that moment the list is yours: edit a quantity or replacement interval, add a part, or take one off, and the change applies to your organisation only - never to the master list or to another customer. Press "Replaced" when you change a filter: it logs the date, takes one off stock and restarts the replacement clock. For commercial use the filter cartridge is replaced at least weekly, and the weekly rota task reminds staff. The same page carries the commercial suitability sign-off: record whether the unit is rated for commercial use, its UKCA/CE marking, IP rating and 30 mA RCD protection, and the Legal page equipment review updates.
Adding an asset
- From the master list: pick the make/model, and the entry's details, task list and parts list attach automatically - as your organisation's own copies. The master list only seeds; what you edit afterwards is yours alone. Adding another asset of the same model later uses the copies you already have, edits included.
- Custom: type the make and model, then either "Find the manual online" (searches manufacturer sites and shows you the candidates - you pick) or upload the manual. ThermaCare stores it, indexes it so it is searchable in the Knowledge base, drafts the maintenance tasks it describes for you to approve, and adds the model to your organisation's registry so your next location can pick it from the list.
Editing an asset
Make, model, serial, water volume, install date and notes are yours to change. So are the commercial-suitability facts (rated for commercial use, UKCA/CE marking, IP rating, RCD protection) - these feed the equipment review on the Legal page. Blank fields on a master-list asset inherit the catalogue entry.
Out of service hides the asset from staff and pauses its tasks; Back in service restores it.
